September 23, 2012 Executive Committee Meeting Minutes

 

The meeting was called to order by President, Jim Samsel at 7:00 PM. Officers present were Jim Samsel, Joe Podesta, George Laverick, and Roger Ward. Several members and guests were also present.

 

Minutes

 

Minutes of the August 23, 2012 meeting were read by George Laverick, and were accepted as read after correction of one grammatically incorrect sentence..

 

Treasurer's Report

 

The Treasurers report was given by Roger Ward. Members wishing to know more detail should contact the Treasurer directly..

 

Armorer's Report

 

The Armorer was not present. There is still one M1 to be returned to the club.

 

Range Report

 

The Executive Officer was not present. Joe Podesta reported that a workday would be held Sunday, October 14, to clear a path from the proposed firing line of the 300 yard range to the proposed target location as an aid in obtaining quotes.

 

Old Business

 

Roger Ward pointed out that the amount and term approved in August for renewal of GOSC membership was incorrect. It is $45 per year for clubs. Roger also stated that we need to collect the individual GOSC membership information at annual renewal time since the GOSC dues are less if we have more than 10 GOSC members in the club. John Heffentreyer said he would check last year's survey forms to see if the information is there.

 

Jim Samsel brought up the issue of temporary paid help to work on the range. We now have an Executive Officer so we need to decide if we want to continue that on a regular basis. Also, if we do continue it, we have to consider how we will be affected by IRS regulations. Roger pointed out that we don't want to have any “employees”, but want to hire someone as an independent contractor to do a specific task. A motion was made and approved to spend a maximum of $500 on range cleanup and repairs including what has already been spent. If additional is needed, the Executive Officer will need to present a budget for approval.

 

A discussion of Range Safety Officers was held. ADPS needs some kind of “paper trail” to prove that our RSO's are qualified. If we have someone who is qualified as a Chief Range Safety Officer who can instruct and qualify new RSO's that would be best. George Laverick indicated that he is willing to pursue getting the CSRO certification.

 

ADPS has stated that we can use their tables on the indoor range as long as the table tops are covered to protect them from damage. Joe Podesta is looking at various alternative covering materials. The Executive Committee authorized Joe Podesta to spend up to $50 for table covers.

 

Roger questioned whether or not use of the ADPS range should be listed on the front page of the club website. After much discussion, it was determined that Jim Samsel would ask Phil Krestin how ADPS feels about it.

 

New Business

 

Three new members were accepted into the club.

 

Roger questioned whether or not we should continue the pro-rating of membership dues in Nov/Dec because of the additional paperwork involved. The rest of the Committee felt that it did not constitute a problem.

 

Jim Samsel proposed that we change the late dues payment limit from 6 months before being dropped from the club to one month. Since this is set by the bylaws, an amendment to the bylaws would be needed and it would need to be done before 2013 renewal notices are sent out in order to be effective for 2013. The Executive Committee voted to call a Special Meeting to be held in conjunction with the October Committee meeting to amend Article 4.d). of the Bylaws as follows:

 

From:

A member in arrears for more than 6 months shall automatically forfeit their membership, and shall be required to apply for membership as a new member if they wish to rejoin, and shall not be eligible for pro-rated dues.

To:

A member in arrears for more than 1 month after the due date established by the Executive Committee shall automatically forfeit their membership, and shall be required to apply for membership as a new member if they wish to rejoin, and shall not be eligible for pro-rated dues.

Executive Committee Meetings

 

Beginning September 23, 2012, the Executive Committee meetings will be held at 7:00 PM on the fourth Sunday of each month in the meeting room of the ADPS indoor range located at 240 Dupont Drive in Aiken. The next meeting will be October 28, 2012.

A special meeting to amend the bylaws will be held in conjunction with the October 28 Executive Committee meeting. If you will not be attending the meeting and have not yet voted, please vote now by sending an email to members@srrpclub.com stating whether or not you approve the amendment.
